Organizer Guideline

To ensure a smooth collaboration and uphold academic standards, Hubula provides the following guidelines for organizers who wish to publish their conference or institutional proceedings with us:


1. Proposal Submission

Organizers should submit a formal proposal that includes:

  • Title and theme of the event

  • Date and location (or online format)

  • Host institution(s)

  • Editorial team or appointed guest editors

  • Estimated number of papers to be submitted

Send proposals to our editorial email at least 2 months before the intended publication date.


2. Editorial Responsibility

Organizers are responsible for:

  • Appointing an editorial committee or guest editors

  • Ensuring that all submissions undergo a review process (peer review, editorial review, or equivalent)

  • Verifying the originality and academic quality of each paper

  • Following ethical publication practices (e.g., avoiding plagiarism, duplicate submissions)

Hubula may offer editorial or peer-review assistance upon request.


3. Manuscript Preparation

All manuscripts must:

  • Use the Hubula template (available on the website)

  • Be written in English (or include English abstracts and keywords if in another language)

  • Include author information, affiliation, and references in APA style (or as specified)

  • Have a maximum similarity index of 20% (based on plagiarism checking tools)


4. Submission Format

  • Organizers must compile the final manuscripts into a single folder (Word and PDF formats), along with metadata in Excel or CSV format.

  • Include a front matter section: conference introduction, editorial note (if any), and list of reviewers/editors.


5. Publication Timeline

The complete set of manuscripts and metadata must be submitted at least 4 weeks before the publication schedule (April, August, or December).


6. Processing Fees

If applicable, processing or layout fees will be discussed upon agreement. Hubula does not charge readers (Open Access is free for all users).


7. Licensing

All papers must be published under the Creative Commons Attribution 4.0 International License (CC BY 4.0).
